Position: Intake Coordinator
Pay: $21.00-24.00 per hour
Duration: Temp-to-hire
Hours: 8:30am - 5:00pm | Full-time / 100% In-Office
Position Overview:
Ultimate Staffing Services is actively seeking an experienced Intake Coordinator to join their client's dynamic behavioral health team. This is a high-impact, front-line role where the successful candidate will serve as a key point of contact during the admissions process, ensuring accurate intake, regulatory compliance, and compassionate support for individuals and families during critical moments.
Description:
- Answers and triages all inquiry calls for skilled home health services, determining intake appropriateness in collaboration with RN and authorization staff.
- Confirms staffing availability and appropriate resources prior to accepting referrals.
- Partners with authorization personnel to verify payer eligibility, including Medicare and Medicaid, for all referrals.
- Reviews service orders to ensure qualified and competent staff are assigned to meet authorized care needs.
- Collaborates closely with RN Coordinators to identify potential admission issues and ensure clinical review of diagnoses, paperwork, and physician orders.
- Accurately enters and verifies demographic, contact, and location information while coordinating with internal teams, external healthcare professionals, clients, and families.
- Maintains accurate records for admissions, SOCs, staffing assignments, and non-admitted referrals, ensuring timely referral openings or proper documentation.
- Works with marketing and authorization teams to identify referral challenges, payer updates, and referral source trends.
- Upholds HIPAA compliance, confidentiality standards, and provides clerical and administrative support as needed, including additional duties and ongoing professional development.
Minimum Qualifications:
- High School Diploma or GED required; completion of a Medical Assistant program or medical administrative background preferred
- Experience in admissions and staffing with progressively increasing responsibilities
- Demonstrated proficiency with computer applications and systems
- High degree of accuracy, attention to detail, and commitment to confidentiality
- Strong data entry skills
- Excellent analytical, problem-solving, and decision-making abilities
- Effective verbal, listening, and written communication skills
- Strong organizational skills with the ability to manage time and stress effectively
- Demonstrates a sense of urgency and ability to meet deadlines
- Ability to work both independently and collaboratively as part of a team
